Test your Admin efficiency

Have a look round your offices and see if you can see anybody doing any of the following:-

• Manually re-inputting data that originated in one computer into another computer?
  Not only is this obviously a waste of their time for the poor person doing the entry, but it also introduces an obvious point at which errors can creep into the system and that leads to more time wasted trying to fix them and implementing systems to check that everything is OK before and after the error is rolled back.
  If the two computer systems are within your own network, then it will be relatively trivial to connect them to make the manual input unnecessary.
  But even if the two systems are separate, it is likely that we can build an import routine to fix it or perhaps join it with an API if available.
   
• Using spreadsheets for regular activities
  Spreadsheets are wonderful, they are versatile and relatively easy to use.
  But did you know that regular survey have found that over 60% of all spreadsheets used in business are wrong. Mostly it is just mis-casting or totalling errors, but the error rate can go up to 80% if the spreadsheet has more than one person entering the data.
  Everything that can be done in a spreadsheet, can be done in a database and once that has been checked, the types of errors that are common place in spreadsheets are eliminated.
   
• Spending hours updating the data in Reports each month
  If you need to update the data in regular reports to senior management or to customers it used to be a time consuming and risky process (don't make a mistake!). In recent years there have been massive strides in the quality of data visualisation services that are available to extract specific data from any single or combination of databases - PowerBI or Tableau are favourites.
   The report can be available at any time at the push of a button.  It can even be saved into a standard PowerPoint presentation, and if it comes straight from the database it is far more trustworthy that if it has been subject to gentle massage before presentation.
